Inspections, Maintenance and Owner Reporting

Knowing how your rental is being looked after matters. Inspections, maintenance and clear reporting help owners understand the condition of their investment and make decisions when work is needed. Penny Shanks and the Ray White Te Anau team can explain how our service works for your property.

Starting with a condition record

A useful starting record describes the condition of the home, its fixtures and any included chattels. Photographs and written notes can provide a reference for later discussions. Keep copies of maintenance records, warranties, insurance information and any relevant compliance documents alongside the tenancy records.

Routine inspections

Inspections provide an opportunity to observe the property’s condition and identify matters that may need attention. Ask your property manager how inspections are arranged, what their reports cover and how you will be notified of concerns. Entry must follow the rules that apply to the tenancy; consult Tenancy Services inspection guidance for current notice and access requirements.

Maintenance and repairs

Discuss how tenants should report issues, how your manager assesses requests and when you will be asked to approve work. Agree who can obtain quotes, your preferred communication method and any spending authority. Some jobs require a qualified tradesperson. Urgent repairs and safety issues may require a different response, so clarify the arrangements before they arise.

Owner statements and records

Ask what information you will receive about rent, costs and work arranged, and how often it will be provided. Keep statements and invoices with your investment records and speak with your accountant about your own reporting and tax requirements. Ask questions promptly when an item is unclear.

Insurance and ongoing planning

Check your policy with your insurer, including any inspection, notification and maintenance conditions. Consider a reserve for unexpected repairs as well as longer-term work such as painting, heating and replacing appliances. Insurance terms vary and a property manager cannot guarantee a claim will be accepted.
